Receptionist and clerks both play an important role in any organization. Many of their main responsibilities or tasks are overlapping. However major distinctions between clerical jobs and receptionist jobs are the degree of responsibility handled by them and their skill sets.
The Job of a Receptionist
As a customer or public the first employee one comes across in any organization are mostly receptionists. They create the first good impression about organization which may later affect organizations success.
Most of the receptionists are trained on the job. They learn to operate computer, answer phone calls and procedures to welcome visitors. Most of these skills can be learned quickly; however learning information about organization and target customers may take a little longer.
By and large responsibilities handled by receptionist vary depending on the establishment or industry where they work in. Receptionists in hospitals gather patient's information, file reports, give appointments and assist patients; whereas those working in an office may greet visitors, schedule meetings and book tickets. Receptionist in beauty salon may also serve as casher, arrange appointments and help clients with information. Those with travel desk spend all their time in answering passenger calls and inquiries.
Employment of receptionists is expected to rise by 24 % up to 2020. These are higher than any other occupation. Job prospects will be high in big organizations. New jobs will be created with increase in number of hospitals and corporate establishments; moreover employees will be required to fill positions of those who leave their jobs. The Job of an Office Clerk
General clerks are responsible for day-to-day filling, documentation, answering phone calls and other administrative tasks. They spend most of their time doing data entry in computer, proofreading documents, taking photocopies, faxing documents, sending couriers, preparing mailers and delivering messages. Booking clerks sort checks, prepare vouchers, receive and record cash.
Duties of clerks also vary depending on the type of industry and job performed by clerks.
Information clerks keep records and prepare information required by customers and clients. They are one point contact for any business related information; they also help other colleagues in administrative work.
Material recording clerks keep records of items shipped to other country, the sort and compile reports on inventory and other aspects of supply chain.
Their duties also vary depending on the level of experience. Clerks with less or no experience send fax, couriers, stuff envelopes and take photocopies. Those with little experience maintain records, prepare statistical reports, handle customer complaints and make travel arrangements. More experience clerks generally supervise all clerical jobs in any office and junior clerks.
